Department Administrator
Job Vision
The ideal candidate for a department administrator is a detail-oriented and proactive individual that thrives in a ministry-driven environment. This role will provide key administrative support by facilitating systems, communication, and event organization. This role is pivotal to ensuring seamless operations and effective communication both within the department and across the broader church campus. From coordinating schedules, managing budgets, and organizing volunteers to assisting with event planning and service preparations, this role is essential in helping the department operate with excellence in every process.
Core Responsibilities
Team Administration: Coordinate weekly department meetings, manage agendas, take notes, follow up on action items, and ensure strong team communication and organization. Maintain department inbox and oversee logistics for meetings and events.
Budget Management: Assist the Ministry Director with budget planning, track departmental expenses, and manage expense reporting.
Volunteer Onboarding: Manage the onboarding process for ministry volunteers and contractors, ensuring accurate records in Rock RMS and PCO and timely communication with candidates.
Hospitality: Plan and execute volunteer hospitality, build and lead a hospitality team, and coordinate accommodations and logistics for special guests.
Event Support: Provide logistical and administrative support for major events (e.g., Christmas, Easter), including volunteer coordination and preparation.
College Practicum Support: Assist Milestone College Ministry Practicum with scheduling, logistics, and student support in collaboration with instructors and staff.
